The important part is the login email. Use the same email we approve for wholesale, then choose the location you are ordering for.

What if the buyer changes?

What feels different

Is this like a traditional wholesale order sheet?

Mostly, but cleaner. Approved buyers sign in, choose the right company location, and see the case products set up for that location. Usual replenishment stays staff-reviewed with Oahu Coffee; the cart is for approved case orders or accounts that are set up for checkout.

Is every online order immediately final?

Not always. The cart is not meant to silently replace staff-reviewed usual replenishment. Some case orders can check out normally, while some need Oahu Coffee to confirm availability, delivery, payment, or invoice details before fulfillment.

Why does the ordering email matter so much?

Wholesale access is tied to the approved buyer email. If someone uses a different email, they may see regular shopping instead of the company pricing and locations.

What might slow down the first order?

Missing buyer email, unclear delivery address, multiple receiving locations, special payment requests, or products that need a custom wholesale setup can all add a little review time.

What happens after we send the inquiry?

Oahu Coffee reviews your company, your intent, your expected order size, and where the drinks need to go. Some teams start with samples, some move straight to first-order setup, and existing partners can ask for account access.

Should we create an account before approval?

You can, but you do not have to. The important part is using the same email after approval so the company pricing and locations appear in your account.

How long does approval usually take?

It depends on the details, but we try to keep it simple. Clear company information, the right ordering email, and a good delivery or pickup note help us move faster.

Can we ask questions before applying?

Yes. Choose samples first if you are still deciding, or explain what you are considering in the message. We will keep the next step simple instead of opening ordering access before it is useful.

Do we have to order every week?

No. Some partners have a regular weekly or biweekly replenishment rhythm, and some only need occasional extra orders. Tell us what feels realistic so we can set the right staff review step, cadence, and payment flow.

Company locations

Can one company order for several locations?

Yes. A hotel group, restaurant group, retail group, or office team can keep one company account and still order for different receiving locations.

Do we choose the location before ordering?

Yes. Before checkout, choose the company location this order belongs to. That keeps the order, pricing, and delivery or pickup setup tied to the right place.

Can different people order for different locations?

Yes. We can add separate buyers to the same company and only give each buyer access to the locations they should order for.

What if we start with one location and add more later?

That is fine. Start simple. When another store, office, or receiving address is ready, tell us and we can add it to the company setup.

Wholesale pricing

Will we see our agreed wholesale price online?

Yes. After approval, sign in with the approved buyer email and choose the order location. The site should show the wholesale products and prices set up for that location.

Can different companies have different pricing?

Yes. Each approved company can have its own wholesale pricing. When you sign in, you should only see the pricing available to your company.

Can different locations have different pricing?

Yes, when needed. Most companies keep one simple price list, but larger accounts can have different pricing by location if we agree on that setup.

What if a product is not available for wholesale?

If a product is not available for your wholesale account, it may not show up for ordering. That helps keep the order list focused on what your company can buy.

Why do prices sometimes differ by location?

Most companies keep one simple price setup. If a company has very different locations, delivery needs, or buying volume, we may set the location up differently so the order is handled correctly.

Payment and invoices

Do wholesale buyers have to pay by card?

Not always. Some accounts may pay online, and some approved wholesale accounts may pay another way, such as by check. We confirm that before ordering opens.

Can we save a card for easier future orders?

Yes, when the payment option is available. Saved cards make future checkout or approved payment collection easier, but we still keep payment timing clear before fulfillment.

Can we pay later instead of right away?

Only if Oahu Coffee approves that for your company. We keep payment simple at the start so both sides know exactly what is due and when.

Where do invoices and order history live?

Your orders, payment status, and available invoice details stay in your Oahu Coffee account so buyers can come back and review past orders.

Can accounting use a different email from the buyer?

Yes. Tell us who places orders and who should receive invoice copies. For larger teams, we can keep buyers and accounting recipients separate instead of making everyone share one login.

Can more than one person receive invoices?

Yes, if your team needs that. Add the invoice emails in the inquiry, and we will confirm the right setup before wholesale ordering opens.

Can we use a purchase order number?

Yes. Add the PO number or accounting note when you order, or include it in your inquiry so we know how your team wants invoices labeled.

Orders and receiving

Is there a minimum order?

There may be a minimum depending on your location, order type, and delivery needs. We confirm that before your first wholesale order so there are no surprises.

Can we choose pickup or delivery?

Usually yes, depending on where the order is going. Some partners pick up, and some need local delivery. We confirm the best option during review.

Can we change an order after placing it?

Contact us as soon as possible. If the order has not been prepared yet, we will do our best to adjust the products, quantity, pickup, or delivery details.

What if an item is out of stock?

If something is not available, we will help you choose the next best option or let you know when it is expected back. We do not want you guessing.

Can we place a quick extra order between regular deliveries?

Yes. Approved buyers can request extra product when stock runs low. We still confirm availability and fulfillment timing before treating it as final.

Login and buyer access

Do we need a separate wholesale password?

No. Use the regular Oahu Coffee account sign-in with the email that was approved for wholesale access.

Will wholesale setup change normal shopping?

No. Regular shoppers can keep browsing and checking out normally. Wholesale pricing only appears after an approved buyer signs in with the right company email.

What if I already signed in before approval?

No problem. Once approved, refresh your account page. If wholesale access still does not appear, sign out and sign back in with the approved email.

What if the buyer email changes?

If it is the same person with a new email, we can update the login email. If it is a new person, we usually add them as a new buyer for the company.

Can one login have multiple email addresses?

Usually no. The cleaner setup is one email per buyer. Each buyer can still be connected to the same company and the right ordering locations.
